Trip & Offsite Activity Guidelines for Parents

ALL students are required to have a Medical Information Sheet on file. We ask you keep us posted of any changes in your insurance or doctors. We need to know about special medications, health or allergy issues. This is "confidential" information.
  • All "off-campus" events require a signed permission slip.
  • Drivers: In order to protect Saratoga Federated Church and Student Ministries, our high school students are NOT allowed to drive for off-site activities. If parents wish to have an older sister/brother drive a younger sibling, please make special arrangements, in advance of the event, through our staff. We ask that parents write a note and give it to their student, which we will keep on file.
    Parents will assume full liability for this choice.
  • Activity Space: We cannot guarantee space at an offsite activity for your child if they have NOT made ADVANCE reservations through our office (Melinda). We need time to plan for transportation, meals and purchasing food. This is VERY important to us. Exceptions: Special outings for Small Groups, or "student hang-time" with our staff. "On-campus" activities are open!
  • Arrival Times: We set times and ask that students be on time. As long as we have staff on duty, it is not necessary for parents to stay around and wait until we leave. We estimate a minimum of 30 minutes after arrival time before we leave for camps. It is often longer, depending upon packing time, complexity of the trip & timeliness of students.
  • Payment Delivery: Please turn in payments & permission slips to our Student Ministry office, not to the program directors on Sundays or during the week. It is VERY helpful if you mail these in advance of the activities.
  • Checks Written to: ALL checks are to be written to Saratoga Federated Church with your student's name/activity written in the notation area.
  • How to Make Payments: Every event/camp has a separate budget and is handled individually. Therefore, please write one check for each event. If you have two students attending the same event, you may pay for both of them with one check. If you have two students attending two events, that requires two checks!
  • Deposits: Regarding camps and the Mexico AMOR Trip. These camps require large financial commitments from our church. Therefore, these deposits are non-refundable. If your child has to cancel, possibly another student could take your child's place or you could offer it as a scholarship gift to another student.
